APA 7 Technical Standard

APA 7th Edition Guide

The official standard for Psychology, Education, Social Sciences, Nursing, Health Sciences, Business, and interdisciplinary fields. Verified against official APA Style guidelines.

Official APA Guidelines

What is APA 7th Edition?

The APA 7th Edition is the current, authoritative guide for academic writing in the social and behavioral sciences. Released in October 2019 by the American Psychological Association, it provides the official rules for formatting papers, citing sources, and presenting research with clarity and consistency.

This style is required across disciplines like psychology, education, nursing, and social work. Following APA format ensures your work meets professional standards, allowing readers to engage with your ideas without distraction. The 7th edition modernizes these standards with updates like simplified student paper formatting, new rules for digital sources, and clearer guidance on inclusive language.

APA-Approved Font Options

While APA allows these fonts, your professor may specify one. Always check your assignment instructions first. If no font is specified, Times New Roman 12pt is the safest choice.
Source: APA Publication Manual, 7th ed. - Section 2.19 (Fonts). Verified January 2026.

Select your desired font from our style preset options panel on the dashboard when generating your document.

"Use a font that is accessible to all users. Although APA Style does not specify a single font, options include 11-point Calibri, 11-point Arial, 12-point Times New Roman, 11-point Georgia, or 10-point Lucida Sans Unicode."
— APA Style Guide, 7th Edition, Section 2.19

RECOMMENDED

Times New Roman — 12 point

The traditional academic font. Most professors expect this. If you're unsure which font to choose, use Times New Roman 12pt. It's been the standard for decades.

When to Use

  • Traditional professors
  • Formal research papers
  • Thesis or dissertation
  • When instructions don't specify
  • Print submissions

Characteristics

  • Serif font (has decorative strokes)
  • Classic, formal appearance
  • Excellent for printing
  • Universally available
  • Most widely accepted choice

Calibri — 11 point

Modern, clean sans-serif font designed for screen reading. Good choice for digital submissions and online courses.

When to Use

  • Online course submissions
  • Digital-only papers
  • Modern, progressive professors
  • Screen reading preferred
  • When you need slightly more compact text

Characteristics

  • Sans-serif font (clean lines, no decorative strokes)
  • Excellent on-screen readability
  • Modern appearance
  • Default font in Microsoft Word
  • Some traditionalists may dislike it

Arial — 11 point

Clean, simple sans-serif font. Widely available on all systems. Professional but informal.

When to Use

  • When sans-serif is preferred
  • Accessibility requirements
  • Presentations or posters
  • Less formal assignments
  • Business-related psychology papers

Characteristics

  • Sans-serif font
  • Very clean and simple
  • Available on all platforms
  • Takes more space than Times
  • Can appear less formal

Georgia — 11 point

Elegant serif font designed specifically for screens. More personality than Times New Roman while still being formal.

When to Use

  • Digital humanities papers
  • Creative fields within APA disciplines
  • When you want something different but still formal
  • Online reading preferred
  • More artistic academic work

Characteristics

  • Serif font
  • Beautiful on screens
  • More character than Times
  • Still formal and professional
  • Less common (some find it too decorative)

Lucida Sans Unicode — 10 point

Compact, highly readable sans-serif. Good for lengthy documents or when you need to fit more content. Excellent support for international characters.

When to Use

  • Strict page limits
  • Need to fit more content
  • Papers with international characters or symbols
  • Lengthy documents
  • When space efficiency matters

Characteristics

  • Sans-serif font
  • Space-efficient (smallest allowed)
  • Excellent readability at small sizes
  • Comprehensive Unicode support
  • Less common (10pt may seem small to some)

Important: Check Your Assignment Instructions

While APA allows all five fonts, your professor may specify one. Always check your assignment instructions first. If no font is specified, Times New Roman 12pt is the safest choice.

Student Paper vs Professional Paper

APA 7th edition has two paper types. Most students use Student Paper format. Professional Paper is for journal submissions.

Student Paper

FOR COURSEWORK & ASSIGNMENTS

  • NO running head required
  • Page numbers only (top right)
  • Title page includes: title, author name, school, course, instructor, due date
  • Most common format (use this unless told otherwise)

Professional Paper

FOR JOURNAL SUBMISSION ONLY

  • Running head required (shortened title in header)
  • Running head + page numbers
  • Title page includes: title, authors, affiliations, author note
  • Use only if submitting to academic journals

Required Sections (In This Order)

Every APA paper must include these sections in this exact order:

1. Title Page

First page. Must include: paper title, your name, school affiliation, course number and name, instructor name, assignment due date. Page number starts on this page.

2. Abstract (if required)

Starts on page 2. Brief summary of your paper (150-250 words). No paragraph indent. Word "Abstract" centered at top. Keywords line at bottom (italic label, normal text).

3. Main Body

Starts on page 3 (or page 2 if no abstract). Paper title centered at top, then your content. Introduction has NO heading. Common sections: Introduction, Method, Results, Discussion.

4. References

Starts on new page. Word "References" centered at top. Alphabetical order. Each entry: first line flush left, second and subsequent lines indented 0.5 inch (hanging indent).

5. Appendices (if needed)

Additional materials (surveys, interview questions, raw data). Each appendix starts on new page. Label as "Appendix A," "Appendix B," etc.

Heading Levels (How to Format Section Headings)

APA uses five levels of headings. Most papers only need Levels 1-3. Here's how to format each:

Level 1: Centered, Bold, Title Case (Every Major Word Capitalized)

Example: Method

Level 2: Flush Left, Bold, Title Case

Example: Participants

Level 3: Flush Left, Bold Italic, Title Case

Example: Sampling Procedure

Level 4: Indented, Bold, Title Case, Ending With Period. Text starts on same line.

Example: Demographic Information. The sample consisted of...

Level 5: Indented, Bold Italic, Title Case, Ending With Period. Text starts on same line.

Example: Age Distribution. Participants ranged from...

In-Text Citations

APA uses the author-date format for in-text citations. Include author(s) and year, with page numbers for direct quotes.

Parenthetical Format

One author: (Smith, 2023)
Two authors: (Smith & Jones, 2023)
Three+ authors: (Smith et al., 2023)
With page: (Smith, 2023, p. 45)
Multiple sources: (Smith, 2020; Jones, 2021)

Narrative Format

Smith (2023) found that...
Smith and Jones (2023) argue...
Smith et al. (2023) demonstrated...
According to Smith (2023, p. 45)...
As noted by several researchers (Smith, 2020; Jones, 2021)...

Note: Use "&" in parenthetical citations but "and" in narrative citations. Always use "et al." for 3+ authors from the first citation.

Reference List Format

The reference list appears on a new page titled "References" (centered, bold).

Order: Alphabetical by author's last name
Indentation: Hanging indent (0.5 inch for second+ lines)
Spacing: Double-spaced throughout
Authors: Last, F. M. — List up to 20 authors; for 21+, list first 19, then ... then last author
DOIs: Include as https://doi.org/xxxxx — no period after

Common Reference Formats

Journal Article (with DOI)

Formatting Mistakes We Fix Automatically

These are the common mistakes that cause papers to be rejected or lose points. SimpleFormat fixes every one automatically:

Common Mistakes

Wrong margins
Wrong spacing
Extra gaps between paragraphs
Missing page numbers
Wrong reference format
Centered or justified text
Wrong font or size
No paragraph indents

What We Fix

Set to exactly 1 inch
Make exactly double-spaced (2.0)
Remove all extra gaps
Add to top right of every page
Add hanging indent (0.5")
Left-align everything
Apply your chosen APA font
Add 0.5" first-line indent

Note: These are standard APA 7 defaults. Thesis/dissertation papers, specific journals, and institutions may have different requirements — full customization options are available in the wizard.

What You Still Need to Do

SimpleFormat handles all the formatting. You still need to handle the content and citations:

  • Write your paper content
  • Create in-text citations (Author, Year) format
  • Write each reference entry correctly
  • Include all required sections (abstract, method, results, etc.)
  • Follow your professor's specific assignment requirements
  • Proofread for grammar and spelling

Quality In = Quality Out (The opposite is also true)

What SimpleFormat Does NOT Do

SimpleFormat is a formatting tool, not a writing tool. We fix how your paper looks, not what it says.

We don't generate in-text citations.

You must write them yourself in (Author, Year) format.

We don't write reference entries.

We format your reference list, but you must write each entry correctly.

We don't create content.

You provide all content: title, abstract, body text, references.

We don't check grammar or writing quality.

You're responsible for grammar, spelling, and overall quality.
