What is a Grant Proposal?

A grant proposal is a formal document requesting financial support from a funding organization. Unlike academic papers, grant proposals are evaluated on strict formatting complianc, every funder publishes unique rules in their "Call for Proposals" (also called FOA, RFP, or Work Programme).

Critical: One formatting error (wrong margins, wrong font, exceeded page limit) can trigger automatic rejection before human review. These rules are zero-tolerance and enforced by automated validators.

Major Grant Types by Funder

Each funding ecosystem has its own terminology and structure:

US Federal (NIH, NSF, DoD, CDC, SBIR)

Research (R-series): R01, R03, R21 — Investigator-initiated projects with legislated structure: Significance, Innovation, Approach, Budget, Biosketches.

Career Development (K, F): K99, F31 — Training and career awards for early-stage researchers.

Training (T, D43): Institutional training grants.

Commercialization (SBIR/STTR): Phase I/II for small businesses; 20-page limit Phase I, additional exhibits allowed Phase II.

European Union (Horizon Europe, ERC, EIC, MSCA)

Research & Innovation Action (RIA): Standard collaborative projects; Part B template identical for all Horizon Europe calls, but page limits vary (typically 14-50 pages).

ERC Grants: Starting/Consolidator/Advanced — Solo PI; Part B max 14 pages; scored 50% on PI track record.

EIC Accelerator: Innovation-to-market; 50-page full proposal + 15-slide pitch deck.

Doctoral Networks (DN): Multi-institution training; strict person-month budget rules.

US Foundations (Gates, RWJF, MacArthur)

Two-Stage Process: Most use 2–4 page Letter of Inquiry (LOI) first; full proposal only on invitation.

Gates Foundation: 150-word abstract in web form; must include target population, primary outcome, geography.

RWJF: Community Project grants; one-page cover letter on institutional letterhead required.

MacArthur 100&Change: 4-page concept note; full proposal 20 pages if invited.

UKRI / Innovate UK / Wellcome Trust

UKRI: Uses "Je-S" portal with structured sections; 2 cm margins mandatory including binding edge.

Wellcome: 4-section narrative format; specific templates for fellowships vs. research grants.

Innovate UK: Innovation-to-Commercialisation; business plan required in addition to research plan.
